- Office and Operations Coordinator

As the Office and Operations Coordinator at DSD Business Systems, you will have the opportunity to drive operational excellence, optimize cross-functional workflows, and be the central force that keeps our people, processes, and priorities seamlessly aligned.

Are you?
- TECHNOLOGICALLY PROFICIENT. You demonstrate the ability to quickly learn and navigate diverse software platforms, including ERP systems, Smartsheet, DocLink, and DSD Business Systems’ full suite of proprietary tools.
- INDEPENDENT AND RESOURCEFUL. You consistently manage office operations without direct support, demonstrating strong research skills to find solutions independently while efficiently overseeing all administrative responsibilities.
- DEPENDABLE AND RELIABLE. You are consistently on time or early to work, requiring no close supervision and trusted by the team to keep administrative functions organized and aligned with industry best practices.
ESSENTIAL DUTIES MAY INCLUDE:
Within the first 30-days:
- Learn DSD Business Systems’ mission, services, markets, and processes while partnering with key team members to understand operations.
- Meet weekly with the Operations Manager to review progress, learn property management functions, and train on keyless entry, alarm, phone, and office systems.
- Within 3 weeks of sign-off, begin handling inbound office calls, shadows order processing to learn Smartsheet, coordinates with vendors, and completes Doclink workflow training.
- Within the first month, learn office inventory management, handle supply orders, shadow opportunity imports in Acumatica, and contribute to Operations meetings for efficiency and collaboration.
3 months and ongoing:
- By the 3-month mark, is self-sufficient in managing the office phone system, serving as the first point of contact, maintains inventory, and coordinates maintenance or equipment updates with the Property Management team and Operations Manager.
- Learn e-waste recycling and monthly renewal imports, enters sales orders in Doclink, performs SAGE Intacct registration imports independently, and masters referral commission reporting.
6 months and ongoing:
- Consistently delivering high performance, seeking opportunities to expand skills, and independently preparing monthly opportunity reports for branch renewals.
- Complete comprehensive workflows for all administrative processes within the “administrative playbook” for the Operations team.
12 months and ongoing:
- Provides IT support for new hires and colleagues while leveraging insights from the Operations Manager and meeting regularly to explore additional contributions aligned with skills, interests, and departmental needs.
- Independently manages 3rd party commission tracking with monthly reports, evaluates and refines administrative workflows to address process gaps and improve efficiency, and ad hoc assesses software renewals, tracks company costs against project budgets, and supports acquisition onboarding.
EDUCATION, SKILLS & EXPERIENCE:
- 2+ years’ experience supporting in-person teams, administrative and office operations, with a strong understanding of daily workflows and professional expectations required
- Demonstrated understanding of core business functions, enabling effective support of internal operations and strategic initiatives required
- Skilled in managing day-to-day office responsibilities, coordinating internal resources, and keeping business operations on track required
- Demonstrated multitasker with excellent communication skills and a knack for identifying and implementing efficiency improvements required
- Bachelor’s Degree highly preferred, ideally in Business, Communications, Operations Management, or a related field—demonstrating foundational knowledge & critical thinking skills
- Broad understanding of the tech industry, with experience in environments involving enterprise software (e.g., ERPs), SaaS platforms, or value-added resellers (VARs) highly preferred
- Experience with Microsoft Office, i.e. Excel, Office 365, Outlook highly preferred
- Comfortable with light technical troubleshooting and user setup tasks highly preferred
- Exposure to or experience with tools like Smartsheet, Doclink, and Acumatica a plus
WORKING HOURS, COMPENSATION AND COMPANY BENEFITS:
Working hours: In office 7am – 4pm, Monday – Friday
Compensation range: $54,520 – $67,965. Annually, commensurate with experience level and skillset
