This is the time of year when the flu, elections, holidays, wrapping up the current year, and planning for next year, all dominate our lives.  I hope that you'll dodge the flu this season.  I wasn't so lucky, and it had me down for nearly a month and caused me to miss last month's newsletter.
 
Thankfully, there were few problems at the polls last week.  With the exception of the San Diego Mayoral race, there's no lingering uncertainty over the results.  This, coupled with a pro-business environment in Sacramento, bodes well for our state and for our businesses in the next year.
 
Foremost in our minds is ending 2004 with a bang and planning for 2005.  DSD has an extremely talented group of professionals who stand ready to help you in all of these areas.

Starship and Windows XP Service Pack 2

V-Technologies has completed compatibility testing of StarShip with Windows XP Service Pack 2 (SP2).

What is XP SP2?

Windows XP Service Pack 2 is designed to better defend against viruses, worms, and hackers. Its enhanced security infrastructure offers increased manageability and control for Windows XP users.

How does this impact StarShip?

The increased security measures of XP SP2 block communication within the following StarShip components:

• StarShip GTC
• FedEx Atom Server (FedEx Basic)
• FedEx Ship Manager (FedEx High Volume)

FRx Tip: Blank Last Row

With FRx version 6.5 (and prior), the last row in the row format must be blank.  If the last row is not blank, FRx will not let you insert a row without the last row being automatically deleted.  There is no standard “symptom” other than, after a row insert, the last row is automatically deleted, and the FRx custom financial report may not be calculating correctly.

MAS90 Tip - How to Copy a Company in 4.0

The way to copy a company has changed in version 4.0.  In prior versions, companies could be copied using the SVDATA utility. This was accessed from the File menu. Now companies are copied with the copy feature in Library Master/Company Maintenance. This simplifies the process, because the “Copy...” button is right on the Company Maintenance window.

In the Company Maintenance Window:

To use the Copy function, go to Library Master/Company Maintenance. Enter the Company Code for the destination company and click the “Copy...” button.

If you are trying to copy an existing company to a new company, you will need to create the Company Code for the new company prior to copying. Remember that the company that is displayed on the Company Maintenance window is the destination company. This is different than the old SVDATA program.

In the Copy Data Window:

On the next window (Copy Data window) select the company, modules and forms that are to be copied. The Data check box for General Ledger will be checked and cannot be cleared. General Ledger is required for any company created.

Click the “Proceed” button and the company will be copied.

This feature is often used to create a test company, to make a copy for Payroll at year-end or to make a quick back up of a company.


Enhancements Products of the Month: 

APMU Multi-Company Accounts Payable
and APDT Accounts Payable Expense Distribution Entry

APMU Multi-Company allows a managing company's Accounts Payable department to process A/P transactions for an unlimited number of "subsidiary" companies. Invoices can be distributed to other companies that have a General Ledger database. Each line item entry of an Invoice contains a new Company Code field. This new field defaults to the current Company - it may be changed to any other company that has been set-up for inter-company processing.

The APDT enhancement for MAS 90 and MAS 200 Accounts Payable module allows the user to simplify and automate frequently utilized General Ledger Distributions for A/P Invoice Data Entry. (This feature is not implemented in Manual Check Invoice Distribution Entry). Where standard MAS90 and MAS 200 allow for only one default General Ledger Account to be assigned to a Vendor, which then defaults to 100% of the Invoice Amount, Distribution Table Codes allow for multiple General Ledger Accounts to be assigned on a percentage basis of the total Invoice Amount.

Using Agents to Perform Repetitive Administrative Tasks

In the course of business, there are many activities that need to be done on a regular and repeated basis. Manually having to do these tasks can be labor intensive and very time consuming. This costs your organization money. SalesLogix has recognized this and to help the SalesLogix Administrator, there is a feature in the SalesLogix Administrator called Agents that will perform these regularly scheduled tasks for you.

  • Agents allow you to run many different types of tasks, which include:
  • Printing Crystal reports (as ASCII, text, CSV, Excel, HTML, Word, PDF, and RTF formats)
  • Email Crystal Reports (in  ASCII, text, CSV, Excel, HTML, Word, PDF, and RTF formats)
  • Run Basic Scripts
  • Run Active Scripts
  • Launch executable programs
  • Open Files
  • Perform SQL statements on the database.
  • Performing remote tasks

This would allow you to automatically distribute monthly reports via email, or clean up unneeded files on a remote machine on an automated monthly basis.

Agents can be set up for the following type of schedules:

  • One time
  • Daily
  • Weekly
  • Monthly
  • Yearly

Hint: When setting up reports in the scheduler, they will have to run without intervention by a user. This means that the report cannot ask for any parameters. If you are running a report, and it would normally prompt the user for the date to run the report, you will now need to change that report to run off a specific time (current date).  If you had the report designed to prompt for a sales division, you will now need to create one report for each sales division.
